Job Specifications

In addition, this position will require that you perform a vast range of administrative duties and office support for the entire office, to facilitate and maintain an efficient working environment.

Daily reception duties include:

  • Delivering excellent customer service at all times
  • Dealing with all enquiries in a professional and courteous manner, in person, on the telephone or via e-mail
  • Greeting all visitors, signing them in, handing them a visitor’s pass and hi-vis vest (if appropriate), contacting the relevant staff member of their arrival and offering them refreshments whilst they wait
  • Greeting all crew members, ensuring they sign in, and handing them a visitor’s pass and a hi-vis vest
  • Answering all calls promptly, getting information from the caller e.g. their name, who they wish to speak to, what company they are from and what it is in regards to, and forwarding the call on to the appropriate staff member.
  • Identifying cold callers and informing them of the appropriate information – in certain circumstances ask them, politely, to take the company off the calling list
  • Collecting and sorting all post to relevant departments
  • Receiving and signing for any deliveries/collections (for larger deliveries please notify the stores department) and sending a notification email to the relevant staff member
  • Franking all post appropriately to be collected by royal mail
  • Opening up the office and tasting room in the mornings
  • Closing the reception and tasting room area in the evenings
  • Keeping the reception area, front of office, kitchenette, tasting room and guest toilet clean and tidy at all times
  • Making stationery orders as appropriate to current stock levels after approval from senior management and ensuring the stationery cupboard is tidy at all times
  • Ensuring all emails to reception@ and hello@ (including those in the spam folder) are read, responded to and/or deleted or forwarded to the relevant staff member
  • Provide administrative support where necessary
